New or Continued Enrolment for 2023

Dear Families,

We have now released the process for the New or Continued Enrolment for 2023!

Each year, Wilston Kids Care rolls over all existing bookings at the end of the year to continue into the next school year. Please follow the steps below and choose the scenario that best suits your child’s circumstances for 2023.

If your Child is Continuing their Enrolment at Wilston Kids Care for 2023

If you wish to rollover your current booking for your child using their existing booked days, there is nothing you need to do. We will take it from here. Behind the scenes we will do all the work and rollover over the enrolment automatically for you. Your child would then commence in Term 1 2023 on their normal booking pattern.

If you need to change your current booked days in 2023, (i.e., add or remove days) you will need to complete the Request to Change Permanent Booking Form for any booking changes for 2023.

These requested changes for 2023, will be confirmed back to you, via email in October 2022. You are only required to fill this form out if you want to change your days in 2023.

Any changes requested to be made are subject to availability.

If you Child is Leaving Wilston Kids Care in 2023


Grade 6 Children

All children in Grade 6 will have their permanent bookings automatically cancelled as of Friday 9 December 2022 (COB), unless otherwise advised by the Parent or Guardian in writing that they are staying to attend Vacation Care. An end date will need to be given so we can arrange for the finalisation of the account.

Grade 6 children are most welcome to attend Vacation Care until Friday 20 January 2023.

Any Other Children

If your child (from any other grade) will not be returning to Wilston Kids Care in 2023, you will need to email us at wkc.admin@wilstonpandc.org.au to advise us in writing that your child will be cancelling their enrolment. Without this we cannot finalise their account or stop your direct debit.

This will activate our Cessation of Care process under the Family Assistance Law/Child Care Subsidy arrangements, so we can explain to you how to ensure you continue to claim your CCS rebate until their final day and avoid having to pay full fees for any absent days during the notice period.

All cancellations must be in writing (email), and you must provide at least seven days’ notice. If you know further in advance, please provide us with the additional notice as it will allow us time to offer your position to a new child coming into the Service in 2023.

Please note we do not get information from the School regarding your child’s enrolment. If you need to cancel your Wilston Kids Care bookings you must contact Wilston Kids Care exclusively, as we are a separate business entity.

New Enrolments to Wilston Kids Care in 2023


For any new child attending Wilston Kids Care such as a Prep for 2023 or any other grade, please complete our Enrolment Form via the link below.

Please ensure you have listed the parents/guardians’ full names and addresses as well as 2 Emergency (authorised) contacts for your child. If you have other children enrolled at Wilston Kids Care already, the Parent/Guardian details you enter, must match those listed on your account details in your Xplor Home app (including capital letters). If you use different details, it will duplicate your enrolment and set up a secondary account.

To check your account details to ensure they are put in correctly, please follow the instructions below.

  1. Open your Xplor Home app

  2. Click the Space helmet (account tab) on the bottom right-hand side

  3. When enrolling your new child, please ensure your name is entered on your enrolment form in the same format as listed on the top of the page on your app (this is case sensitive).

All booking requests noted on your Enrolment Form, will be confirmed via email by October 2022. Booking requests are subject to availability.

Wilston Kids Care will send you a formal offer via email that you will need to accept or decline within 5 business days. If you do not respond to this formal offer, your position will automatically be passed onto the next family on the waitlist via our automated digital enrolment program.

If you have not received an offer before the end of October 2022, your child will automatically be placed on the 2023 waitlist. As more positions become available, the Wilston Kids Care Administration Team will continue to send more offers.

Historically more positions do become available throughout the end of the year and into January and February 2023. As you can appreciate, we cannot predict when and if this will occur. This is because all bookings are based on each family’s changing circumstances.

Service Orientations for New Families to WKC via Zoom


For all new children enrolling in 2023, a parent or guardian must undertake an orientation session with Wilston Kids Care before the commencement of your child’s enrolment.

As we have so many new families starting in 2023, we will be conducting these orientations in larger groups via Zoom. This means that you can complete the orientation in the comfort of your own home and manage the care of your children.

To book your orientation click the link below. We have 3 monthly, group zoom sessions to choose from, listed below.

You only need to attend one session:

  • Thursday 17 November 2022 – 7-8pm

  • Thursday 8 December 2022 – 7-8pm

  • Monday 9 January 2023 – 7-8pm

All sessions will run at 7pm and will last approximately 1 hour and will have a dedicated Q&A session at the end. To ensure our legal and compliance obligations, children cannot commence at the Service until their family has been formally orientated about the Service’s operational requirements.

Please note, all new enrolments for 2023 must undertake an orientation during the times listed above. No other times slots will be available so you MUST attend one of the above sessions if you want your child/ren to start at Wilston Kids Care in January 2023 and attend Vacation Care.
